1. Introduction & Operational Framework
Parent entity legal ownership & platform scope
Welcome to StaffJet.ai ("StaffJet", "Platform"). These Terms of Service and Operational Policies govern all access to and use of the platform portals (staffjet.ai, hr.staffjet.ai, arya.staffjet.ai), operated by M/s Webvillee Technology Private Limited ("Webvillee", "Company", "We", "Us").
This document establishes the operational guidelines, technical benchmarks, data handling protocols, and system standards required for Recruiters ("Clients") and Job Applicants ("Candidates"). By creating an account, uploading data, or completing an assessment, you agree to comply with these terms.
Key Platform Definitions:
- Platform: All Webvillee StaffJet software applications, APIs, candidate evaluation engines, and web interfaces.
- Client / Employer: Corporate entity or recruiter using StaffJet to publish jobs, upload candidate resumes, conduct interviews, and evaluate talent.
- Candidate / Applicant: Individual taking pre-screening assessments, automated AI interviews, or live interviews.
- Arya (Meetbot): Webvillee's AI-powered meeting co-pilot that transcribes and summarizes live recruiter interviews.
2. User Responsibilities & Acceptable Use Policy
Security boundaries & prohibited activities
StaffJet is engineered specifically for professional recruitment, assessment, and talent acquisition. Users must uphold ethical recruitment practices and safeguard system integrity.
Account Confidentiality & Access
Users are strictly responsible for maintaining account credential confidentiality. Concurrent sharing of single user credentials across unauthorized individuals is prohibited.
Strictly Prohibited Actions
- Automated data scraping or scraping resume records.
- Bulk spamming via SMTP or unauthorized email relays.
- Penetration testing, vulnerability scanning, or DDoS attacks without prior written Webvillee authorization.
- Uploading malicious software payloads or corrupted PDF scripts.
3. Resume Upload Specifications & Data Rules
File standards, mandatory fields & backup policy
To ensure accuracy across StaffJet's automated OCR parsing engines and database indexing, resume uploads must strictly follow these specifications:
4. Network, ISP & Hardware System Standards
Bandwidth, browser & hardware requirements
To conduct real-time video assessments, AI interviews, and live audio transcribing without latency, candidates and recruiters must satisfy the following technical prerequisites:
5. Virtual Assessments, AI & Proctoring Policy
Session lifecycle, fraud detection & manual overrides
StaffJet combines automated interview agents, computer-vision proctoring, and report generation engines. Operating rules for virtual assessments include:
Single Live Session Lifecycle
Once a candidate enters their One-Time Password (OTP) and launches an assessment, the session becomes live. If the session is interrupted, the candidate may request a new OTP and resume the same attempt while its timer or recovery window remains active. Saved responses are preserved. After that window ends, any further re-attempt requires recruiter action.
Manual Regeneration Tool
If an interview evaluation report fails to auto-generate due to cloud queue latency, recruiters can use the UI "Regenerate" button to manually re-trigger the AI scorecard evaluation.
Facial Analysis, Proctoring & Recruiter Override
StaffJet includes facial vision algorithms monitoring for facial absence or multiple individuals in frame, raising a "Fraud Detected" flag upon exceeding confidence thresholds. Fraud flags serve as advisory indicators. Recruiters possess full authority to review assessment footage and manually disable/override fraud flags if the session is deemed valid.
6. Data Ownership & Candidate Consent Responsibilities
Client ownership & legal compliance obligations
We maintain strict demarcation between Data Ownership and Data Processing:
7. Service Availability, Uptime & Downtime
Maintenance alerts & cloud infrastructure SLA
Webvillee targets maximum platform availability across all StaffJet services. However, technical maintenance and emergency hotfixes may occasionally require scheduled service windows:
- Maintenance Alerts: Where feasible, Webvillee provides advance notice via admin dashboard banners for planned maintenance.
- Third-Party Cloud Infrastructure Disclaimer: StaffJet is not liable for unexpected service interruptions caused by third-party cloud infrastructure outages (e.g. AWS, GCP, or global CDN disruptions).
8. Limitation of Liability & "As-Is" Disclaimer
Warranty disclaimers & risk allocation
Express Legal Disclaimer
StaffJet is provided on an "AS-IS" and "AS-AVAILABLE" basis without warranties of any kind, express or implied.
Webvillee Technology Private Limited is not liable for business revenue loss, recruitment hiring delays, candidate dropouts, or data loss resulting from candidate ISP instability, incorrect recruiter configurations, or local client device failures.
